1. General Policy Statement Due to the extreme environment of Antarctica and the complex logistics required for South Pole transit, all reservations at Vikram International are subject to the following terms. By confirming a booking, the guest acknowledges that travel to the South Pole involves significant upfront operational mobilization.2. Deposit Requirements Initial Deposit: A non-refundable deposit of 30% of the total booking value is required at the time of reservation to secure your suite and private charter flight slots.Final Balance: The remaining 70% of the total cost is due no later than 120 days prior to the scheduled departure date.3. Cancellation ScheduleShould you need to cancel your expedition, the following fees apply based on the date of written notice:Notice Period Provided Cancellation Fee (Total Booking Value)121+ Days Prior Loss of 30% Non-Refundable Deposit 91 – 120 Days Prior 50% of Total Booking Value 61 – 90 Days Prior 75% of Total Booking Value 60 Days or Fewer 100% of Total Booking Value (No Refund)4. Weather and Force Majeure Antarctica is an unpredictable environment. Vikram International is not liable for delays caused by extreme weather, flight safety protocols, or governmental restrictions.Delays: If a departure is delayed due to weather, Vikram International will provide luxury accommodations and dining at our gateway port (e.g., Cape Town or Punta Arenas) at no additional cost.Shortened Stays: No refunds will be issued for "lost time" due to weather-related arrival delays or early departures mandated by safety pilots.5. Mandatory Evacuation & Medical Insurance All guests are required to provide proof of specialized "Emergency Evacuation and Repatriation Insurance" with a minimum coverage of $500,000 USD. This must specifically cover the Antarctic interior. Vikram International reserves the right to cancel a booking without refund if proof of insurance is not provided 30 days prior to departure.6. Reservation Transfers While bookings are generally non-refundable, Vikram International allows for Name Substitutions up to 45 days prior to departure, provided the new guest meets all medical and physical fitness requirements for polar travel. A per-person administrative fee of $2,500 USD will apply.
